Email. It’s probably one of the more boring technical subjects out there, and yet probably one of the most important business functions for our customers. No one ever talks about email, until there is a problem. Statistically, there are now more emails exchange in a day than phone calls. Heck, that’s actually been true for 5-6 years.
Email is so important to business anymore that I wanted to talk about how we ensure your email keeps working. We can this service to you SECURITY Email Defense.
I think you all know that Mavidea provides SECURITY Email Defense service to all of our STABILITY customers that have their own mail server (which is most of them). Usually people remember this as spam filtering, and it is true that most of the email our customers receive is spam. They just don’t know it because anything we are 100% sure is spam we delete and they never see. Trust us, these ones there is zero doubt about it (Viagra, pornography, etc). Anything we see that is questionable, we ask them about.
Did you know that Mavidea is also filtering out most email viruses and phishing attacks? We stop thousands and thousands per day just for our customers. It’s simple math for us really – if you don’t get the virus in your email, you can’t accidentally click on it to activate it and therefore we don’t have to clean up your mailbox. You stay productive.
Mavidea maintains your email, and therefore your business presence on the Internet. Have you ever gotten an email returned that said it was undeliverable, or there was no such email address? It makes you wonder what is going on. If you are a customer you wonder if the business if legitimate, or if there is something you should know. Hmmmm…… SECURITY Email Defense customers automatically have protection from this. If for any reason your mail server is unavailable (power, ice, server down, Internet line down) instead of rejecting email as return to sender, we will receive and accept them, and queue them up and wait for your server to come back on line. No rejected emails for your customers!
The last 2 parts of SECURITY Email Defense are optional: Email Encryption and Email Archiving. HIPAA, FINRA, SEC, SOX, and other compliance regulations require that certain customer information be encrypted when sent via email. Our Email Encryption service is easy to use and easy for customers to use. We can set parameters like “if anything in an email ever looks like it might be a social security number, automatically encrypt it” or “If I type the word ENCRYPT in the subject line, automatically encrypt it”. Customers have the choice of reading the email by going to a secure website or by downloading a small app to their computer, whichever is easier for them.
Email Archiving does exactly that is sounds like. You choose 1,3,5, or 7 years, and it archives every email sent and received by every account on your server. It is a complete record. Some customers need this for compliance, and some customers want this for HR reasons. Whatever your need, all of the emails are indexed and easy to search for words or terms you specify. If you need to show regulatory compliance, there are easy to use built-in templates that will make life easier.
So there you have it – email is boring but necessary, and Mavidea has taken steps to make it safe, easy, and functional for you!
